Over my decades in ministry, I’ve discovered a few simple tweaks can make a world of difference.

Forget the formal start – create a relaxed, welcoming vibe from the get-go with some good coffee, tasty treats, and upbeat background music.
It’s amazing how a little hospitality can set the tone for a positive and productive meeting.
Think about it: many of your volunteers are likely rushing straight from work, juggling family commitments, and squeezing in time to serve.
A little TLC goes a long way in showing them you value their time and contribution.
2. Celebrate the Wins – Big and Small
Nothing boosts morale and inspires commitment like celebrating success stories.
Make it a habit to start your leadership meetings by sharing good news – answered prayers, ministry wins, personal testimonies, and acts of kindness within the church. This creates a contagious culture of encouragement and reminds everyone that God is at work!
Pro Tip: Encourage your team leaders to come prepared with stories to share – after all, everyone loves a good news segment.

3. Show Appreciation – Get Creative!
Everyone wants to feel valued. Take time to genuinely thank and appreciate your volunteers, both individually and as teams.
Public acknowledgment goes a long way in reinforcing a culture of honor and appreciation.
Again, don’t be afraid to get creative! A simple gift card, a heartfelt note, or a fun team shout-out can make someone’s day. In my church, we’ve even done mass Mars Bar giveaways – a small gesture that always gets a laugh and brings people together.
Pro Tip: Some introverts prefer a more private thank you so remember to add a private word of thanks to the public one.

People are more likely to be engaged and invested when they feel like they’re in the loop. Share upcoming plans, and exciting announcements, or even address challenges the church is facing.
This level of transparency builds trust and gives your leadership team a sense of ownership.
Of course, use discernment with sensitive information, but don’t underestimate the power of bringing your team alongside you in the journey of leading and growing the church.
5. Make Time for Prayer – It’s More Than a Box to Tick
While singing and worship might be better suited for Sunday services, prayer should be a non-negotiable element of all your leadership meetings.
Create space for your team to pray for one another, share prayer requests, and intercede for the needs of your church and community.
This fosters a spirit of unity and dependence on God.
And it increases awareness that church leadership is dependent upon the favour of God.
6. Equip Your Team with Practical Training (Not Just Teaching)
I’m a firm believer in the power of practical, actionable training. Your leaders need more than information – they need to know how to apply principles and implement strategies within their ministries.
Here are a few tips to make your training sessions more impactful:
- Focus on one key takeaway. What’s the one thing you want your team to remember and implement?
- Keep it brief and engaging. Avoid lengthy lectures – aim for interactive discussions, role-playing scenarios, and group brainstorming.
- Provide tools and resources. Handouts, checklists, or follow-up emails can go a long way in reinforcing what you’ve covered.
- Offer opportunities for Q&A. Encourage your team to ask questions and seek clarification – this shows you value their input.
